Join Scout Night is one of the most important events we do — and one of the most rewarding.

If the idea of “recruiting” sounds intimidating, take a breath. These events work best when they feel friendly, welcoming, and low-pressure. You don’t need to know everything, and you won’t be doing it alone.

This page walks through what Join Scout Night is, how it typically works, and how we support the leaders who volunteer to help.

What is Join Scout Night?

Join Scout Night is a district-organized event held at local schools to help families learn about Cub Scouting and meet nearby packs.

For Pack 628, it’s a chance to:

  • Welcome new families

  • Share what Scouting looks like in real life

  • Answer questions in a friendly, honest way

  • Help interested families take the next step if they’re ready


Dates, locations, and times vary each year. Our pack typically asks for volunteers to cover specific schools and provides support and materials ahead of time.

You don't do this alone

Join Scout Night works best with 2–3 adults working together.

  • Two adults is manageable

  • Three adults makes everything easier


Having a small team lets one person talk with parents while another helps kids at an activity station. Some schools there will need to be someone at the front door to let people in. It also keeps the event relaxed and fun.

Helpful tip:
Wear your scout uniform if you have one, and bring your own Scout(s) along — especially if they can wear their uniform. Seeing real Scouts makes a big difference.

How the night is usually set up

Most Join Scout Nights are set up with four simple stations. Don’t worry if you don’t have everything — enthusiasm matters more than perfection.

This is usually the first stop for families.

Helpful items

  • Clipboard with printed sign-in sheet

  • Flyers, postcards, stickers (provided by the pack)

  • Laptop playing a short scouting video on loop


What to do

  • Greet families as they arrive

  • Ask them to sign in

  • Invite kids to explore the activity stations

Station 1: Welcome & Sign-In

This station helps families see what Scouts actually do.

Ideas for display

  • Pinewood Derby cars

  • Rockets

  • Rank handbooks

  • Patches or photos

  • Foam display boards (provided by the pack)


Nearby, you can also set up:

  • A tent

  • Sleeping bags

  • Camping chairs

  • Lantern or camping light

  • Backpack

Sleeping bags are often a favorite with kids.

Station 2: What is Scouting (Display Table)

This station gives kids something to do while parents ask questions.

Activity Option 1: Paper Airplanes

Kids decorate a paper airplane and try to land it in a bucket or hoop.

Helpful materials

  • Paper (cardstock works best, but regular paper is fine)

  • Markers, crayons, or colored pencils

  • Buckets or hula hoops for targets

  • A few example airplanes for testing

Activity Option 2: Animal Track Match (easy second option)

Set out a few printed animal track cards and matching animal pictures. Kids try to match them.

This is:

  • Easy to explain

  • Low mess

  • Quick to reset

Station 3: Activities & Fun

This station helps families who are ready to take the next step.

What to display

  • Large printed QR code linking to registration

  • Simple explanation of what happens after they sign up


Families can scan when they’re ready — no pressure.

Station 4: Registration and Joining

A Note from Pack Leadership

At Join Scout Night, you are the main resource for families.

People may ask:

  • What is Scouting like?

  • When do we meet?

  • What does it cost?

  • Why Pack 628?


You don’t need perfect answers.
If you share your experience honestly and show your enthusiasm, that’s enough.

Missing a piece of swag? Totally fine.
Not sure about a detail? Say so — and let them know someone will follow up.

After the event

The pack leaders will send out a post-event sign-in spreadsheet. After Join Scout Night, complete that sign-in information and send back to the leaders

This helps us follow up with interested families and make sure no one falls through the cracks.
